Managing Trash and Auto-Delete Settings

ioGates provides users with flexible control over how deleted files are managed, offering settings for auto-deletion and the ability to adjust the duration of files remaining in the trash bin before being permanently deleted.

Customising Trash Bin Settings

  1. Accessing Trash Settings:

Navigate to the Preferences menu and look for Preset Account Settings. This section houses options for managing your account's trash settings.
  2. Adjusting Retention Period:

By default, files moved to the trash bin are retained for seven days. However, you can customize this duration to fit your project's needs or storage management policies. Simply modify the number of days files should stay in the trash bin before permanent deletion.
  3. Emptying the Trash Bin:

If needed, you can manually empty the trash bin ahead of the scheduled auto-delete. Note that it may take up to 30 minutes for the storage indication to reflect this change. Patience is advised during this update process.

Understanding Auto-Delete Functionality

  • Restoration Period: Files marked for auto-delete offer a restoration option until the scheduled trash cycle runs. This feature provides a safeguard against accidental deletions, allowing for file recovery within the defined trash retention period.

  • Exemption from Manual Emptying: Auto-delete files are not immediately removed when manually emptying the trash bin. They adhere to the preset trash settings, ensuring that only after the defined retention period do these files get permanently deleted.

  • Final Deletion: After the expiry of the set duration in the trash settings, files are irrevocably removed from the trash bin, emphasizing the importance of reviewing the trash bin contents before the auto-delete cycle concludes.

Best Practices for Trash Management

  • Regular Review: Periodically check the contents of your trash bin to ensure no critical files are pending auto-deletion, especially if manual emptying is part of your routine.
  • Clear Policies: Establish clear guidelines for trash retention durations based on project needs and storage limitations, communicating these settings to all team members.
  • Consideration for Auto-Delete: Leverage the auto-delete feature judiciously, being mindful of its implications for file restoration and storage management.

By effectively managing the trash settings and understanding the auto-delete feature in ioGates, users can ensure a balanced approach to digital asset management, blending flexibility with control over their storage space and file lifecycle.
